Plan Your Event

 

Arranging and Reserving a Date

Even if the date of your event is only tentative, please contact our event coordinators so that we can make a note on our calendar. All other information such as location, number of guests, time of event, and menu selection need to be decided at least ten business days before the event. You may contact our event corridnators at 412-648-2302.

Reserving the Room

Whether the event is to take place on or off campus, the location needs to be reserved before we deliver. If your event will be on campus, tables, chairs, and other equipment will need to be arranged by you by contacting the William Pitt Union Reservation Office at 412-648-7817 or the Facilities Management Office at 412-624-8809. Requests for food and beverage tables should be made at this time. When reserving your time, please allow two hours each for setup and cleanup for events with waitstaff.

Booking Off Campus Events

We will be happy to try and accommodate all events located within a reasonable distance. Deliveries outside of Oakland limits will be subject to a delivery fee that will be determined by the location.

Booking Last Minute Events

We ask for a three business day notice for all events to ensure the availability of services. A late charge of 25% will be assessed for every event booked with less than a 72 hour notice.

Cancellation of an Event

In the event of cancellation, please call our event coordinators as soon as possible.  Any event that is cancelled with less than a 72 hour notice will result in 50% payment due as contracted on the event form.

Minimum Required for Delivery

Menus are designed for a minimum guest count to guarantee the listed price. Please contact our event coordinators to design a menu to meet your specific needs.

Signed Contracts

Signed contracts are required 72 hours prior to your event date along with final payment information in order for your event to be valid.

Forms of Payments Accepted

University funds, checks, and credit cards are all considered valid payment methods. All functions must have a secured payment before they occur. Non-University groups are subject to our standard charges plus sales tax for all services.

Waitstaff

Waitstaff is required for a nominal fee for all served meals and hot food buffets.  Waitstaff fees are based on 3 hours of service. For other events or if additional time is needed, a fee per hour per attendant will be applied. Our event coordinators will determine the number of attendants required based on the logistics of your event.

Linen

Linen for guest tables are included within the package price of full service meals and hot food buffets. If you would like linen for receptions, breaks, boxed lunches, etc. there will be a fee per tablecloths and per each skirted table. Linen and skirting is only available with wait staff at a nominal fee.

Equipment

We will bring all food related equipment to your event. Please be aware that as the host of the catered event, You are responsible for the equipment we have provided for the service. Any missing or damaged catering equipment or supplies will be charged to your account at replacement costs.
